Tender Documentation Engineer / Officer

Job Description

As a Tender Documentation Engineer/Officer, you will be responsible for preparing, organizing, and managing tender documents for various projects. You will work closely with the sales team, project managers, other stakeholders, and suppliers to ensure that all tender documents are accurate, complete, and submitted on time. Your attention to detail, strong communication skills, and ability to work under pressure will be essential for success in this role.

Roles and Responsibilities:

  • Review tender requirements and specifications to understand the project scope, deliverables, and deadlines.
  • Act as a bridge between internal departments and external suppliers and subcontractors to obtain relevant information and pricing for tender submissions.
  • Coordinate with the senior managers along with the sales and services teams to gather and finalize the necessary information for tender submissions. This includes understanding client requirements, technical specifications, and the project scope.
  • Prepare and compile tender documents, including technical specifications, drawings, bills of quantities, pricing schedules, and other relevant information.
  • Ensure that all tender documents are accurate, complete, and compliant with client requirements and company standards.
  • Review and revise tender documents as necessary based on feedback from stakeholders or changes in project requirements.
  • Assist in the preparation of presentations, proposals, and other supporting documents for tender submissions.
  • Coordinate with the legal and procurement teams to ensure that all contractual and commercial terms are properly addressed in tender documents.
  • Stay informed about industry trends, best practices, and regulatory requirements related to tender documentation.

Job Specification

Requirements:

  • Bachelor's degree in Electrical Engineering or a related field.
  • Proven experience in tender documentation preparation and management, preferably in a technical/engineering environment.
  • Excellent communication skills, both written and verbal.
  • Strong interpersonal skills and the ability to build rapport with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and other communication tools.
  • Ability to work independently and prioritize tasks effectively.
  • Attention to detail and strong organizational skills.
  • Adaptability and resilience in a fast-paced environment.
  • Knowledge of industry best practices in communication and collaboration is a plus.
