Administrative & Finance Assistant

Job Description

Roles and responsibilities:

Administration:

  • Keeping customers and clients informed throughout the process and reporting back to them at every stage. Collect data, present it in an accessible form and write detailed reports.
  • Assist the administration and Finance team for efficient and effective general administration management.
  • Ensure well-established and maintained documentation filing systems for office correspondence and administrative and log-related official documents.
  • Communicate with shipper via email, what's App, or WhatsApp regarding new PO, shipping documents, freight and so on.
  • Handling Telephone calls
  • Receiving official phone call and talking to them as per their requirement and transferring the call to required personal extension.
  • Handling Official Letter
  • Prepare official letter as per requirement and forward to related office. Handle the incoming letter and make proper filing and registration
  • Handling day-to-day administrative task

Financial:

  • Throughout knowledge of corporate matters.
  • Manual Accounting and software-based Accounting (Tally) ( at least must be able to extract trial balance)
  • Income tax and VAT. Computation of taxes and filing of tax returns.
  • Ms Excel
  • Handle all transactions related to accounts
  • Maintain daily accounts in accounting software
  • Reconcile bank statements and accounts
  • Develop and maintain accounting records and financial statements
  • Final audit report
  • Ensure timely payment of taxes and its reporting to the IRD

Job Specification

Requirements:

  • Graduate with at least 3 years of professional experience in administration & finance department
  • In-depth understanding of bookkeeping, Logistic management & administrative management
  • Strong analytical skills. Detail-oriented and able to work and interpret figures and other financial information
  • Capable of working under pressure in a fast-paced environment.
  • Preferably, possess experience in freight forwarding operations and management with good knowledge of shipping documents and customs procedures.
